SASKCUP RACE VOLUNTEER OPPORTUNITIES

The following are descriptions of various volunteer opportunities to make the SaskCup races run smoothly.

REGISTRATIONS

​

The registration table will be set up in the new Race/Wax Building. Ahead of Saturday, we will put the bibs for each club/town into a separate bag.  The plan is to give the bag for a particular town to a coach or other responsible individual.  Inside the bag, there is a list of skiers with their bib numbers.

 

When a coach or rep picks up the bib bag, we need to ask if they have any scratches or add-ons.  These are marked on a master list.  If a skier is an add-on, they will get a new bib and the name and bib number will have to be added into the computer that will do the results (Mark Potts/Julie Andrews will be in the building to administer these changes).  Any late add-on pays an extra $10 fee.  I’ll have a cash float in a cash box to make change if need be.

 

Coaches can be given a copy of this start list so that they can tell their racers when to warm up, etc.

 

MUSIC/PHOTOGRAPHS

 

They will be in charge of getting our Ski Club amp to play some good race music. The music can be playing from setup time until race start time. Once all of the racers are out on the course, music can be playing. This adds to the atmosphere of the event.

Warren will take photos on Saturday. Warren is not available on Sunday, so if there are any aspiring photographers out there for Sunday, let me know.

 

FOOD

Jody is responsible for ordering and bringing the food out to the venue, and the others will take over from there. Sid will bring all of the needed elements and cooking supplies. Sunday will be cookies and drinks.

 

CAMPFIRES  

​

If you can get a fire going in the chalet so it gets nice and toasty. It'll also be nice to get a fire going outside as well as another place to warm up.

 

OBSTACLE COURSE

​

Luke Hepworth will be lead for this, but I require a few parent helpers to help set up and manage the young skiers as they navigate the course. There will be no timing required. Bibs will need to be picked up once the skier has finished using the course. All skiers will get a special medal for completing the course at least once.

 

FIRST AID 

​

I will have a First Aid kit iin the race office. They will be available in the stadium area if First Aid is required. Sid will bring emergency blankets. We will also have a skidoo toboggan available to bring an injured person in off the trail if need be. But I hope we don’t have to.

 

SNOWMOBILE SUPPORT 

​

They will be bringing snowmachines.  We can use these for getting people to their volunteer positions out on the trail and also sweeping the trail to make sure no racer gets left out there. Check in with them if you want a ride to your post on the trail, for those doing loop controllers and bib recording.

 

START LINE 

​

Saturday will be a Sprint Race with interval start qualifiers and a Kings Court format to follow.  We will have the use of the Cross Country Saskatchewan time clock to help with sending racers out at the exact time.  The computer that calculates results will be using satellite time.

  

COURSE CONTROLLERS  

​

There will be several “controllers” out on the course writing down bib numbers.  This is an important job since the data can be used to sort out all kinds of problems later.  The important thing is to write the bib numbers down in the order they get to your station.  You write the number down whether they are turning or going straight in the order they first arrived at your station.  If you are a course controller, you will get a clip board, pencil and recording sheets. You can pick these up from the race/wax building upon your arrival.

 

SIT SKI CONTROLLER

See above for description I expect we will have a few young sit skiers racing. If not, I will assign this person to another spot.

 

LAP LANE TIMING 

​

It is important that we record lap times for the race since these are multiple lap races. I will have you stationed at the intersection of the stadium and Wapoose Way. This will be a back up for the Zone4 Chip timing.

 

TIMING TEAM 

​

For the Sprint Qualifier on Saturday we will be using Zone4 Chip timing. For the following 3 sets of Kings Court heats, we don't have to worry about time, just finishing place. The following will be used for the sprint qualifier and Sunday distance races: We will rely on one timing team consisting of 3 people at the finish line. On a team, one person with a stop watch calls out the bib number and time for a skier.  A second person writes that information down.  The third person simply writes down the bib order for skiers crossing the finish line without worrying about their time.  If skiers are coming across fast and you miss a number, put a question mark or other mark in the space to show there was in fact a skier there. Our primary timing system will be the Zone4 chip timers, with the timing team as the secondary, which will be necessary pending any issues with the Zone4 timing technology.

 

BIB COLLECTION

Pretty straightforward but important since it costs us about $25 to replace a single bib that gets lost. On Saturday, the racers will keep their bibs until after they complete the 4th a final race of the day (Kings Court). Sunday, bibs will be collected after the race as per usual. A big garbage bin will be used to toss the bibs into. Make sure the bibs are left right-side out.

 

ZONE4 TIMING CHIP DISTRIBUTOR AND COLLECTOR

This is a new vENture for our Sask Cup in La Ronge. As skiers marshall into the start area at least 10 min prior to start, you will be in charge of distributing the timing chip to the correct skier. You can help them put it on. The timing chips then need to be collected and placed back on the rack once the skiers cross the finish line. We cannot have any chips walk away on us, as they are approximately $75 to replace.

 

CASH SPRINTS  

​

These are short, fun sprints held in the stadium for the various categories.  This will be a CLASSIC sprint.  A sprint is held for each age group. 1st place gets $10, 2nd place gets $5. It allows the results people more time to get the results wrapped up. Volunteers will create a short course in the stadium, gather skiers by gender and age category, start the skiers and see who cross the line 1st and 2nd.

 

RESULTS  

​

The results are entered into a Zone 4 program on the computer.  We need to get the results printed as soon as possible since they should be posted before the awards ceremony so that we can catch any errors.  Always a little hectic but things do work out. For the Kings Court format races on Saturday, Sid will be the runner, getting the new start lists to the start line once the heats are confirmed.

 

AWARDS   

​

After all the racers are done, we will have an awards ceremony outside the main chalet.  The top 3 finishers in each category will get a medal.

 

SUNDAY CLEAN-UP 

​

Pretty self-explanatory.
